Terms and Conditions for Participation – Vioma AB

At Vioma AB, we are committed to providing a safe and clear experience for all participants in our organized trips. Please read these Terms and Conditions carefully, as they form an integral part of the agreement between you and Vioma AB when booking and participating in our trips. By registering for any of our trips, you accept the terms outlined in this document.

1. Cancellation and Termination

The traveler may terminate the agreement before departure according to the following rules:

  • Cancellation more than 45 days before departure: Full refund minus a small administrative fee (€70).

  • Cancellation 44–25 days before departure: 50% of the total trip cost will be refunded.

  • Cancellation less than 25 days before departure or on the day of departure: Unfortunately, no refunds can be issued.

  •  Need to transfer your booking?  No problem! You can transfer your spot to someone else at no extra cost — just let us know ahead of time.

  •  Force majeure exceptions:
    In the event of a serious medical situation, hospitalization, documented injury, or any other condition that makes travel impossible, we offer a full refund regardless of the cancellation date, provided relevant documentation is submitted.

    📌 We always recommend getting travel insurance that includes cancellation coverage.

Changes in airlines, flight times, or accommodations that do not significantly affect the nature of the trip do not constitute valid grounds for a refund.

2. Changes during the trip

Vioma AB reserves the right to adjust the travel itinerary if deemed necessary for the execution of the trip and the best experience of the participants.

Possible reasons may include:

  • Weather conditions

  • Strikes, transportation issues, or technical problems

  • Governmental or local regulations

  • Unforeseen safety or health reasons

Participants accept that such changes do not entitle them to refunds or compensation.

3. Accommodation and Hotel Management

Vioma AB strives to ensure the accommodation advertised in the itinerary. In case of unavailability, equivalent or higher-standard accommodations may be offered at no extra cost.

Participants acknowledge that this does not constitute grounds for cancellation or a refund claim.

4. Participants’ Responsibilities

Participation in organized trips requires respectful behavior toward fellow travelers and tour leaders. Travelers are obliged to follow the itinerary to ensure the smooth execution of the trip. Individual requests cannot be prioritized at the expense of the group.

5. Itinerary Changes

Vioma AB may make changes to the itinerary when necessary to optimize the travelers' experience.
External factors such as flight delays, hotel policies, or extreme weather conditions are beyond Vioma AB's responsibility.

Accommodations may be changed if unavailable, with replacement options of the same or higher standard at no additional cost.

6. Safety During the Trip

Participants are responsible for their own belongings and safety, just as they would be at home.

We recommend keeping valuables in inner pockets or a belt bag and avoiding leaving valuables in accommodations or vehicles.

Any accidents or illnesses occurring outside organized activities are not covered by Vioma AB’s responsibility, but the company will provide guidance and support if needed.

7. Travel Documents – Passport, Visa, eTA

Participation requires valid travel documents:

  • Passport valid for the entire trip

  • eTA, ESTA, or other electronic travel authorization if required

  • Visa if mandated by the destination country

Obtaining these documents is the traveler’s responsibility. Vioma AB can provide information and guidance, but assumes no legal or financial responsibility in case of rejection or delay in the application.

If an application is denied or documents are not obtained in time:

  • The traveler’s participation is terminated

  • No refund is given for deposits or already purchased services (flights, hotels, activities)

  • The traveler must immediately inform Vioma AB of any issues with travel documents to explore possible alternatives
